Included with itsaCheck is an ABA Bank Number Verification process. This is a special feature which validates the Bank Routing Number and the Bank (Transit) Code.
After completing the information in the Check Writing Screen, you will either save or print this information. Prior to saving or printing, the program will validate the above information you have entered. If the information is correct, you will proceed with the function you selected. If the information is not correct, it will alert you and ask that you verify this information.
Bank Transit Codes are generally located in the upper right portion of a check, or are located below the bank name and location. These numbers are typically formatted as follows:
- 1-1234/5678
- 1-1234-5678
- 12-345/678
- 12-345-678
For more information on these numbers select the section titled "Check Payments By Phone/Fax/Email".
If you are entering check information directly to the screen when talking to your customer on the phone, make sure you save the information to validate prior to ending the conversation. This way if there is a discrepancy, you can verify this with your customer prior to hanging up the phone.

The Check Register Screen is the first screen you see when itsaCheck is loaded. From this screen you can either begin a new check, edit or copy an existing check, delete an existing check or group of checks, search or find an existing check or group of checks, and print an individual check or group of checks.
The buttons located on the right side of the screen is called the "Tool Bar". These buttons are used to perform various functions within the program.
The message bar above the Check Register and Tool Bar is called the "Reader Bar". As you run your mouse over the buttons or on the various screens, the Reader Bar gives you at-a-glance information about its function.
The actual Check Register is the area in the center of the screen and is used to display information about check records stored in the database.
Using the buttons from the Tool Bar, checks can be selected to edit, copy, print or delete. When working in the Check Register, individual check records are selected by clicking with the mouse. For selecting a group of checks, click on the "Select Multiple" button.
IMPORTANT INFORMATION:
When taking check payments by telephone it is important that you gather all the appropriate information. This is critical to ensuring you'll have valid and bankable checks.
The following is a list of information you need to gather from your customer or client:
Bank Routing Number: This number must be nine digits long. It is always located on the bottom of the check in the MICR line.
Checking Account Number: This number also appears at the bottom of the check. The actual number of digits will vary.
Bank (Transit) Code: This is the fractional number which generally appears in the upper right portion of the check (e.g., 11-35/1210).
Check Number: Make sure your customer understands they need to record this in their check register.
Customer Information:
- Full Name on the check
- Street address or mailing address
- City, State, Zip Code
- Telephone number
Bank Information:
- Name of Bank (and branch if applicable)
- Street address of bank
- City, State, Zip Code
- Telephone number (if on check)
The Check Writing Screen is used to enter all the information necessary to produce valid and bankable check drafts. Your customer's check information is entered into the input boxes directly on the screen.
The Check Writing Screen is accessible by clicking on New Check, Edit Check, or Copy Check.
Utilizing this screen is fairly straightforward, and was designed to simulate the location of various fields on a typical check. Simply enter the information from your customer's check in the corresponding input boxes.
Once all information has been entered, click on the Save Check button to validate and save the record to the database.
The Check Writing Screen also contains the ABA verification feature. More information about this is available in the section titled "ABA Verification".
The Copy Check feature allows you to easily create a check from an existing customer.
To enter a check payment from an existing customer, use the Search Check Records feature and locate an existing transaction stored in the database.
To copy an existing check, select the check in the Check Register and simply press the Copy Check button on the toolbar. This will copy all customer information, except check number and check amount, to the Check Writing Screen, and the current date will automatically be entered.
If all information is current, you only need to add the check number and the amount. If the customer is using a different checking account, you can modify the appropriate fields on the screen.
You can then save the check to the database to print by itself or print it later with a group of checks.
Design-A-Check is a WYSIWYG (What You See Is What You Get) check editor and layout tool. With Design-A-Check, you will be able to customize check formats that fit you and your printer.
The default check is a standard business size check that measures 8.5" wide and 3.5" high. When you view the check on your monitor screen, you'll see the text fields on the check the same way they will appear on the check you print.
Accessing Design-A-Check: Select the "Design-A-Check" button from the toolbar. The check layout editor will allow you to adjust the position and font settings of various fields on the check.
Check Text Adjustment: Use the controls to easily position text on the check. Fields can be moved individually or as a group. Select a field group from the dropdown, then use the position controls to move the text.
Font Settings: Change font size and font family for each field group using the font controls.
Remember to save your layout changes when finished!
The itsaCheck program is designed to allow you to enter all information from a check received from your customer.
When the program first starts, you are brought into the Check Register screen. When entering the program for the first time each day, the Check Register will either appear empty or will display all checks entered that have not been previously printed.
To begin a new check, select the "New Check" button from the toolbar. This will take you into the Check Writing Screen.
After entering the Payor Name, you can use the "Tab" key to tab through all the input boxes and enter the appropriate information. The reader bar at the top of the screen will identify the information needed for each input box.
When all information has been filled in, click on the "Save Check" button to save the check to the database.
To enter another check, simply select the "New Check" button and repeat the process.
To conform to American Banker's Association (ABA) standards, the characters printed on the bottom of the check must be able to be read by a magnetic or optical scanner. The characters are then said to be MICR (Magnetic Ink Character Recognition) compatible.
These characters must be printed approximately 1/4" up from the bottom of the check. Since all printers have different characteristics, it is important to make sure that you are printing the MICR line at the bottom of the check correctly.
The MICR Alignment is a function of "Design-A-Check". This will allow you to adjust the text and characters being printed. The adjustment will move the MICR line either up, down, left, or right on the check.
To get started properly, you will need to print some sample/demo checks to make sure your print is properly aligned to the check.
MICR (Magnetic Ink Character Recognition) is the technology used by banks to read the numbers at the bottom of checks.
itsaCheck includes a special MICR font that produces check-ready characters. These characters are designed to be readable by bank processing equipment.
For best results:
- Use blank check stock designed for laser printers
- Ensure your printer is capable of printing at least 300 DPI
- Print a demo check first to verify alignment
- The MICR line should be positioned approximately 1/4" from the bottom of the check
Most modern laser printers are compatible with MICR printing when using the correct check stock.
PLEASE READ THIS!
The MICR line printed at the bottom of the check should be at 1/4" up from the bottom edge of the check. This measurement is made to the bottom edge of the MICR Numbers. You have a tolerance of plus or minus 1/16 of an inch.
The measurement from the left edge of the check to the start of the Bank Routing Numbers should measure approximately 2-15/16" for business size checks.
There is also a "Clear Band" of 5/8" at the bottom of the check. Other than the MICR Numbers, there should be no printing located in the "Clear Band".
Adjustment of the MICR Line can be accomplished in Design-A-Check. Select the MICR Line field group and use the position controls to adjust the placement.
Always print a demo check after making adjustments to verify proper alignment!
Ordering additional itsaCheck Check Transactions & Blank Check Stock can be easily done online.
Access the Order Check Transactions screen from the Account Manager.
Order Password: The Order Password helps you control ordering of itsaCheck Transactions online. Use a password to prevent unauthorized personnel from making purchases without your knowledge. You can set this password in Settings.
To order more checks and transactions:
- Click on the package option you want to order
- Enter your Order Password (if set)
- Click on the "Prepare Payment" button
- Complete your payment information
- Click "Submit Payment" to complete your order
Note: If blank checks are included with your order, they will be shipped to you. Additional check transactions are immediately available after payment.
The Payment & Authorization Form is accessed from the Order Check Transactions screen. This form is similar to the Check Writing Screen.
Important: Please provide correct information as this will be submitted to itsaCheck for processing of your order.
Future Ordering: Once you have submitted your first order, the information that you submitted will be saved for use on future orders. If your information changes, update it with your next order.
Memo Information: The first three lines of the memo field are pre-filled with information about your order. You can use additional lines for your records (P.O. Number, name of person placing order, etc.).
Submitting Payment: To save and submit your payment, click on the "Submit Payment" button. You will receive confirmation of your payment, and your check transactions are immediately available.
Read this if you experience problems printing checks.
Recommended Printers:
- Laser printers are recommended for best MICR quality
- Minimum resolution of 300 DPI recommended
- Use printers that support standard 8.5" x 11" paper
Troubleshooting:
- If checks are misaligned, use Design-A-Check to adjust field positions
- Print a demo check first to verify alignment
- Ensure your blank check stock is loaded correctly (typically face-up)
- Check your printer's paper size settings match your check stock
Different printers may have slightly different positioning characteristics. Always test with demo checks before printing actual checks.
Printing is EASY! Just follow these simple steps:
Printing Checks:
- Enter check information and save to database
- Select the check(s) from the Check Register
- Click the "Print Check" button on the toolbar
- Confirm the print dialog and click Print
Print Demo Check: Use this option to print a sample check to verify proper alignment. Demo checks use a default amount of $4.99 and do not reduce your available transactions.
Multiple Checks: To print multiple checks at once, enable "Select Multiple" mode, select the desired checks, then click "Print Check".
Note: Make sure your blank check paper is loaded in the printer before printing.
Use the Search Check Records feature to locate check records in the database.
Click the "Search Records" button on the toolbar to open the search filter panel. You can search for checks using the following criteria:
- Printed Status (Yes, No)
- Payor's Name
- Check Date range
- Check Amount range
- Check Number
- Memo content
Enter your search criteria and click "Search" to display matching records in the Check Register.
To display all check records in the database, leave all fields empty and click "Search".
Click "Clear" to reset the search filters and return to the default view.
Setup Payee Information is accessed from Settings in the Account Manager.
Pay To the Order Of: The person or company who the check is made payable to is the payee. Entering and saving information here allows the payee information to be automatically entered when creating a New Check. This helps you save time and ensures consistency on the checks.
My Checking Account: Enter your own checking account information here for ordering transactions. This information will be used to auto-fill payment checks when you order additional transactions.
Simply fill in the boxes with your information and click on the Save button. You can change information at any time. If you change information, the new information will only affect check transactions created and saved after that point.
itsaCheck provides signature text that appears on printed checks. This text authorizes the payment without requiring a physical signature.
The default signature text reads:
Your depositor has authorized this payment to payee
Payee to hold you harmless for payment of this document
This document shall be deposited only to the credit of payee
and absence of endorsement is guaranteed by payee's bank
This signature text is standard for draft checks and is accepted by banks when processing check deposits.
You can adjust the position of the signature text using the Design-A-Check feature.
